Can an AI Receptionist Quote Prices?

The short answer

An AI receptionist can quote a price only if you give it fixed, approved language to say, like a published rate card or a standard fee. It never invents a number to keep a caller on the line. When a real quote depends on something only a technician can see on site, a floor plan, a symptom, a photo, the agent says so honestly and books a diagnostic visit or an estimate instead of guessing. The caller either gets the exact number you approved or a booked next step that gets them an accurate one.

Why guessing is off the table

A price quoted on the phone and then contradicted on site costs more trust than never quoting one at all. Because of that, the agent is never allowed to improvise a number. It only says a price if you have written that price down and approved it for the script, the same way you would train a new front-desk hire on what they are and are not allowed to promise.

This is not a limitation added on top; it follows directly from the same rule that keeps the agent from inventing anything else it was not told, hours, policies, or claims about the business.

What an approved rate card actually covers

Plenty of calls have a real, fixed answer: a diagnostic fee, a standard service call rate, a published starting price for a common job. If you give the agent that rate card, it states those numbers exactly as written, the same way every time, to every caller who asks.

What it will not do is round, negotiate, or extend a published number to a job that is not actually covered by it. If the question falls outside the card you gave it, it moves to the next path instead of stretching an answer to fit.

What happens when the real answer is 'it depends'

Most jobs that need a technician's eyes, a repair, an installation, a project with variables, do not have a single honest price before someone looks at the situation. In that case the agent says plainly that pricing depends on what a technician finds, and moves straight into booking a diagnostic visit or an estimate, capturing whatever details make that visit efficient.

The caller still gets a next step on the same call. It is just a booked appointment instead of a number that was not really available yet.

Why this protects the business, not just the caller

A wrong quote is a problem for the business as much as the customer: it either gets honored at a loss or it gets walked back on site, and either way the call that felt like a win becomes a dispute. Sticking to approved language and booking a visit when a real quote is not yet possible keeps every phone quote something the business can actually stand behind.

Common questions

Can the rate card change as my prices change?

Yes. The approved pricing language is something you control, so when your rates change, you update what the agent is allowed to say. It never works from stale numbers you have already moved on from.

What if a caller pushes for a number anyway?

The agent stays with the approved answer: either the published rate or an honest explanation that a technician needs to look before a real number exists. It does not cave to pressure and invent a figure to end the call.

Does it ever offer a price range instead of an exact number?

Only if you approve a range as part of the script, for example a typical range for a common job. Ranges are treated the same as any other quoted price: fixed language you have signed off on, not something the agent estimates on the fly.
